Legacy user roles and permissions

This article refers to legacy Roles and Permissions functionality. Most customers have upgraded to the new version of Roles and Permission, which offers more default roles and the ability to assign roles by application. For more information, see the Roles and permissions article.

Overview

When adding a new user to Pendo, you're prompted to define their permissions. Each permission level is outlined below.

Account Permissions

You must be an administrator to update of the following account settings:

  • Edit Subscription or App Settings
  • View or Edit Data Mappings
  • View or Edit Agent and Install Settings
  • Edit Subscription or App Settings
  • View Raw Events
  • View or Edit Exclude List
  • View or Edit Staging
  • View or Edit Integrations
  • Manage Users

User types

There are three user types: 

All users can view metrics, create segments, and create reports. You can’t limit data visibility.

Administrator

In addition to what an internal User can do, a Pendo admin can add and remove other users from the Pendo account, modify Exclude List and Staging settings, modify Data Mappings, set up integrations, change account time zone, and adjust account-level settings. They can also publish and unpublish guides, and edit guides while published.

User

Standard internal users can tag Pages and Features and have access to all analytics. When it comes to guides, permission levels can be set on a per-user basis with the options below.

Create Guides from Layouts (or Templates)

This option gives the user the ability to create and edit guides using Layouts only. They don't have the ability to create layouts, or customize the guide (HTML and CSS or WYSIWYG) beyond the editable fields that are defined within the Guide Layout.

Create Layouts (or Templates) and Guides From Scratch

This option gives the user control over both guide and layout design. This option automatically enables the Create Guides from Layouts (or Templates) option as well.

The user can create or edit guide layouts, and can create or edit guides either using layouts or building them from scratch. Scratch-built guides use the same approach and interface that was previously available in Pendo. They can be designed either through HTML and CSS markup, the WYSIWYG guide editor, or a combination of both.

Manage Published Guides

This option gives the user the ability to publish guide, and modify guides that have already been published. This option doesn't allow the user to delete guides. Only Administrator users have this ability.

This option gives users the ability to review and update their published guides. All users can review and edit guides in draft or staging.

This is an additional functionality that wan't previously available to the User role. When changes are made to a guide layout, any published or unpublished guides that use the particular layout don't update until they are reviewed and approved.

Read-Only

Read-Only users can view all analytics. This means that the user has access to Page, Feature, visitor, account, funnel, path, and guide metrics. While these users can view all analytics, they can't modify existing segments, reports, funnels, or paths unless they are a user that originally created them.

While they can't edit existing items, they can create their own segments, reports, funnels, and paths. When creating segments, reports, funnels, and paths as a read-only user, the visibility for these items automatically defaults to "only me."
