Share roadmaps

By default, roadmaps are set to private and only accessible to you. To share your roadmap with others, select the Share button at the top of your roadmap. From here, you can choose to share with other Pendo users internally or publish your roadmap externally.

Permissions

You must have Roadmap Creator permissions to share a roadmap internally with specific users as either a viewer or an editor.

A user with Roadmap Viewer permissions, can't be added as an editor on a roadmap. A Pendo admin user can update the user's permissions in Settings > Users. For more information, see Roles and permissions.

Share internally

The Internal tab allows you to share your roadmaps with other Pendo users in your subscription. You can choose to:

  • Share your roadmap with specific Pendo users in the Sharing with people section.
  • Share your roadmap with all users in your Pendo subscription in the Get link section.

Share with specific people

Under Sharing with people, enter the name or email address of each user that you'd like to grant either Viewer or Editor access to. You can only add email addresses of users that have access to your Pendo subscription. Choose the access level using the dropdown menu located to the right of the search box, then select Share.

You can change each Pendo user's access by selecting Viewer or Editor to the right of their name and email address, then selecting the new access level.

Share with everyone in the subscription

Under Get link, select Share with <subscription name> to make your roadmap accessible to everyone in your Pendo subscription. When sharing with your entire subscription, everyone has viewing access by default. If you want to allow everyone in your subscription to edit the roadmap as well, select Viewer > Editor.

If you want to remove access for everyone in your subscription, select the name of your subscription and choose Restricted to reset the access level. Any specific users that you've specified under Sharing with people continue to have the specified access.

When you share a roadmap with your entire subscription, the roadmap displays in the list of available roadmaps for all users. Select Copy link to share the link directly with others.

Share externally

The External tab allows you to share a public version of your roadmap with anyone who doesn't have access to your Pendo subscription. Only features and intiatives on your roadmap are visible externally. Any ideas included in your roadmap are only visible in the internal version of your roadmap. For more information, see Add, promote, and remove ideas in your roadmaps.

To share a public version of your roadmap, select Create public link. This allows anyone with access to the provided link to view the most recently published version of your roadmap.

At the top of your dashboard, you can view whether the public-facing version of your roadmap is In sync or Out of sync with your latest changes. Hover over this value to view the last time the roadmap was published.

To publish the latest changes to the public-facing of your roadmap, select Share > Publish updates.

If you want to unpublish your roadmap so that it's no longer accessible through the public link, you can do so any time by selecting Publicly available > Unpublish within the Share roadmap modal.

External roadmap view

The link to an external version of a roadmap provides access to a simplified version that the viewer can't edit. They can view basic details by selecting a feature or initiative on the roadmap, which opens a panel on the right side of the screen.

From here:

  • The Overview tab shows the status, swimlane, and description of the feature or initiative that the viewer selected.
  • The Roadmap links tab shows what initiatives or features the item is linked to. The viewer can use the arrow in the top-right corner of the item's card to expand and collapse the information for a linked item, or select View to open all the details available to them for that linked item.

An external view of a roadmap only shows initiatives and features. This means that any ideas included in a roadmap are only visible internally, unless an idea was first promoted to a feature. For more information about ideas on roadmaps, see Add, promote, and remove ideas in your roadmaps.

If an internal user wants to interact with the roadmap and see any ideas on the roadmap, they must sign in to Pendo and access the roadmap from there.
