With Pendo collaboration, you can comment on dashboard widgets, and mention other Pendo users to start a conversation. Users that you interact with using this functionality are notified in the notification center and by email. You can turn off email notifications by following the instructions at the end of this article.
Collaboration is also available in Listen. For more information, see Collaborate in Listen.
Prerequisites
Before you can use collaboration in Pendo dashboards, there are two steps you must complete: activate the functionality for your subscription and share dashboards with other users in your subscription.
Turn on collaboration
Pendo admin users can turn on collaboration by completing the following steps:
- Go to Settings > Subscription settings.
- In the Information section, select the Collaboration setting.
- Read the information in the modal, then enter I accept to consent to the terms and conditions of the functionality.
After you activate collaboration for your Pendo subscription, all users in the subscription have access to commenting capabilities on shared dashboards, regardless of their user permissions.
Share your dashboards
Any dashboard that's shared with your entire subscription or with specific Pendo users supports collaboration.
To share a dashboard, select Share in the top-right corner of the page, then add individual users or select Share with [subscription name]. If sharing with individual users, they'll receive an email notifying them that you've invited them to a Pendo dashboard.
After a user gains access to a dashboard, they can use collaboration as detailed in this article.
Tip: If you or another user aren't seeing the comment icons on a shared dashboard, try refreshing your page or signing out and back in.
View comments and replies
Select the comment icon on an individual widget to view its comments, or use the comment icon at the top of the dashboard to see all widget-level and dashboard-level comments.
When viewing the latest version of a dashboard, new comments populate automatically without requiring a page load or refresh. Comments within Pendo never expire, but you can delete them.
Hover over the relative timestamp of a comment to view the exact date and time that the comment was added based on your device's configured time zone.
Note: Comments don't show when viewing a dashboard in presentation mode, and aren't included in exports of dashboards.
View widget threads
To view existing comments added to a dashboard widget:
- In the left-side menu, select Dashboards, then choose your desired dashboard from the list. If it's not visible, select View all dashboards to find and open it.
- Select the comment icon in the top-right of a dashboard widget. The number next to the icon shows how many comments are in the thread. If no number displays, no comments have been added. A red dot on the comment icon indicates that there is one or more unread comments.
View all comments
You can view all comments, including those on individual widgets and on the overall dashboard, in a single view on the dashboard.
To view all comments:
- In the left-side menu, select Dashboards, then choose your desired dashboard from the list. If it's not visible, select View all dashboards to find and open it.
- Select the comment icon in the top-right of the dashboard. The number next to the icon shows how many threads exist at the widget and dashboard levels. Unread comments are indicated by a red dot on the comment icon and directly on the comment thread.
- By default, Widget is selected to show all widget-level comments. If you select a thread, the corresponding dashboard widget comes into focus.
- Select Page to view all comments added at the dashboard level.
Add comments and replies
Anyone who has access to view a shared dashboard can add comments to the dashboard by creating a new thread or responding to an existing thread. You can have one thread for each widget.
Open threads on widgets
To add a comment to a dashboard widget:
- Select the comment icon in the top-right of a dashboard widget.
- Whether you're starting a new comment thread or opening an existing thread, selecting the comment icon automatically brings focus to the Add a comment... input field. Begin typing to start or continue the conversation.
- To add your comment, select the send button on the far-right end of the text box.
Add dashboard-level comments
If you'd like to add a comment at the dashboard level:
- Select the comment icon in the top-right corner of the dashboard, then select the Page tab.
- This automatically brings focus to the Add a comment... input field at the bottom of the side panel. Enter your comment in this field.
- To add your comment, select the send button on the far-right end of the text box.
Mention other Pendo users
You can mention other Pendo users in your subscription, which notifies them in their notification center and sends them an email. To mention a Pendo user, enter @ followed by their name.
Email notifications show the comment and provide the option to open the dashboard to reply to the comment.
Add emoji reactions
You can react to comments with one or more emojis. To react to a coment with an emoji, hover over the comment, then select the emoji icon located in the top-right corner of the comment.
If someone has already reacted to a comment, you can select that emoji to add the same reaction or select the emoji icon next to the existing reactions to select a new emoji. You can react with multiple emojis.
Save drafted comments
If you exit a thread before sending your comment in an existing thread, a DRAFT label populates on the comment and the text in the comment is italicized. To send the draft, select the ellipsis (...) next to the comment and choose Edit, then send your message.
Drafted comments are only available for replies in an existing thread. The first comment in a thread doesn't save when you exit the thread.
Update thread status
Use thread statuses to communicate the current status of a thread and to filter threads when viewing All comments in the side panel.
A comment thread can have one of three statuses: Open, In progress, and Resolved, indicated by the following three icons:
Icon |
Status |
|
Blue up-facing chevron | Open
Yellow clock | In progress
Green check mark (tick) | Resolved |
The default status is Open.
Hover over the first comment in a thread to see its status. To change the status, select the status icon and choose a different status from the dropdown menu.
Resolve threads
When a task or conversation is completed, anyone can resolve the comment thread to help your team focus on open comment threads.
To resolve a comment thread, use the Resolve checkmark icon in the top-right corner of the thread. Alternatively, you can change the thread status to Resolved using the dropdown in the top-left corner of the thread.
You can reopen a resolved thread by updating the status dropdown menu.
Filter comments by status
The most recent comments or threads display at the top of the All comments panel when you select the comment icon in the top-right corner of the dashboard. Use the filters in the dropdown menus when viewing All comments to refine which comments display in this view.
To filter by Status, select any combination of the following statuses: Open, In progress, or Resolved. To apply the filter, select the status text, not the checkbox.
The number next to each status indicates the total threads currently in that category. For example, Open (1) indicates that there is one thread assigned the Open status for the widget or dashboard. For more information about these statuses, see Update thread status in this article.
Use the Filter by dropdown to select whether to view all comment threads or only the threads you started.
Share comment threads
In the top-right corner of a comment thread, select the Copy thread link icon. This copies a direct link for the comment thread to your device's clipboard so that you can share it with other users in your subscription.
If a recipient of the thread link doesn't have access to the dashboard, opening the link gives them a 404 error.
Edit comments
To edit your own comment in a thread:
- Hover over the comment.
- Select the ellipsis in the top-right corner of the comment, then choose Edit.
- Replace or edit the comment text.
- To save your changes, select the send button on the far-right end of the text box.
Edited comments aren't marked as edited.
Delete comments
Admins can delete comments by any Pendo user. Non-admin users can only delete their own comments. If you delete a parent comment with replies from other people, it also deletes the replies.
To delete a comment:
- Hover over a comment within a thread.
- Select the ellipsis in the top-right corner of the comment, then choose Delete.
- Confirm that you want to delete the comment.
This action permanently removes the comment thread. Deleted threads don't leave a visible record of their removal.
Review and manage new comments and reactions
You can see a list of new comments, replies, and reactions that are relevant to you from the notification center in Pendo. This allows you to review and manage new comments, replies, and reactions that are relevant to you from a centralized location. Specifically, from the notification center, you can review and manage:
- New replies in threads that you're in.
- New comments that mention you.
- New emoji reactions to your comments.
For more information, see Notification center.
Unsubscribe from comment threads
When you unsubscribe from a comment thread, you stop receiving notifications related to that thread in both the notification center and by email. To stop receiving notifications related to a thread, including replies, mentions, and emoji reactions:
- Hover over the parent comment or reply.
- Select the ellipsis in the top-right corner of the comment or reply.
- Choose Unsubscribe.
If you decide you want to receive notifications about the thread again, repeat the same steps to unsubscribe, but choose Subscribe.
Manage email notifications
By default, you receive an email notification whenever another Pendo user interacts with you using the collaboration functionality on a dashboard. Specifically, you're notified by email when:
- Someone replies to a thread that you started or that you're in.
- Someone mentions you in a comment.
- Someone adds an emoji reaction to one of your comments.
If you don't want to receive email notifications about these interactions:
- Go to Settings > User profile.
- Under Collaboration preferences, use the toggle to turn off Collaboration emails.
This turns off email notifications for all collaboration in Pendo, not just on dashboards. This means that when you turn off Collaboration emails, you also don't receive email notifications about interactions in Listen. You also won't receive further updates on that thread, even if you choose to resubscribe on the individual comment thread in Pendo.
