Collaborate on dashboards

With Pendo collaboration, you can comment on items and mention other Pendo users to start a conversation. In dashboards, you can use Pendo collaboration to:

  • Add comments to dashboards on individual dashboard widgets and at the dashboard level.
  • Manage individual comments and comment threads.
  • View all comments on a dashboard in a single view.

Collaboration is also available in Listen. For more information, see Collaborate in Listen.

Prerequisites

Before you can use collaboration in Pendo dashboards, there are two steps you must complete: activate the functionality for your subscription and share dashboards with other users in your subscription.

Enable collaboration

Pendo admin users can enable collaboration by completing the following steps:

  1. Go to Settings > Subscription settings.
  2. In the Information section, select the Collaboration setting.
  3. Read the information in the modal, then enter I accept to consent to the terms and conditions of the functionality.

After you activate collaboration for your Pendo subscription, all users in the subscription have access to commenting capabilities on shared dashboards, regardless of their user permissions.

Share your dashboards

Any dashboard that's shared with your entire subscription or with specific Pendo users supports collaboration.

To share a dashboard, select Share in the top-right corner of the page, then add individual users or select Share with [subscription name]. If sharing with individual users, they'll receive an email notifying them that you've invited them to a Pendo dashboard.

After a user gains access to a dashboard, they can use collaboration as detailed in this article.

Tip: If you or another user aren't seeing the comment icons on a shared dashboard, try refreshing your page or signing out and back in.

View and add comments

Anyone who has access to view a dashboard can add comments to dashboards and individual dashboard widgets by creating a new thread or responding to an existing thread. You can have one thread for each widget. Comments within Pendo never expire.

Note: Comments don't show when viewing a dashboard in presentation mode, and aren't included in exports of dashboards.

Open threads on widgets

To add a comment or view an existing thread:

  1. Select the comment icon in the top-right of a dashboard widget.

  2. Whether you're starting a new comment thread or opening an existing thread, selecting the comment icon automatically brings focus to the Add a comment... input field. Begin typing to start or continue the conversation.
  3. To add your comment, select Enter or Return on your keyboard, or select the teal send button.

Add dashboard-level comments

If you'd like to instead add a comment at the dashboard level:

  1. Select the comment icon at the top-right of the dashboard, then select the Page tab.

  2. This automatically brings focus to the Add a comment... input field at the bottom of the side panel. Enter your comment in this field.
  3. To add your comment, select Enter or Return on your keyboard, or select the teal send button.

Mention other users

To mention a Pendo user in your subscription in a comment thread, enter @ followed by their name to notify them in their notification center.

Mentioning a user also sends them an email notifying them that they were mentioned on a Pendo dashboard. The notification shows the comment and provides the option to open the dashboard and reply to the comment.

View unread comments

When viewing the latest version of a dashboard, new comments populate automatically without requiring a page load or refresh. Unread widget-level comments are indicated by a red dot on the comment icon with the number of new updates.

Hover over the relative timestamp of a comment to view the exact date and time that the comment was added based on your device's configured time zone.

React to comments

In lieu of or in addition to replying with a written comment, react to comments with one or more emojis. To add a reaction with an emoji, hover over the comment, then select the emoji icon located to the right of the comment.

If someone has already reacted to a comment, you can select that emoji to add the same reaction or select the emoji icon next to the existing reactions to select a new emoji. You can react with as many emojis as desired.

Save drafted comments

If you exit a thread before sending your comment in an existing thread, a DRAFT label populates on the comment and the text in the comment is italicized. To send the draft, select the ellipsis next to the comment and choose Edit, then send your message.

Drafted comments are only available for replies in an existing thread; the first comment in a thread doesn't save upon exiting the thread.

Manage threads and comments

Within a comment thread, you can manage both the thread and individual comments separately.

Manage comment threads

Here are the options available that apply to the full comment thread using the action buttons at the top of the thread:

  1. Change the thread status. Use the dropdown menu in the top-left corner of the comment thread to mark it as OpenIn progress, or Resolved. Use these statuses for filtering when viewing all comments.
  2. Resolve the thread. Use the checkmark icon to mark a thread as resolved when a task or conversation is completed, enabling you and your team to focus on open comment threads. Alternatively, you can change the thread status to Resolved using the dropdown in the top-left corner of the thread. You can reopen a resolved thread at any time by updating the status dropdown menu.
  3. Copy the thread link. Use the link icon to copy a direct link to the comment thread to your device's clipboard so that you can share it with other users in your subscription. If they don't have access to the dashboard, opening the link gives them a 404 error.
  4. Subscribe or Unsubscribe. Choose to receive or stop notifications for a particular comment thread. You're automatically subscribed to in-app and email notifications if you're @ mentioned in a comment or if a new reply is added to a thread you've participated in. You can also manually subscribe to a thread here if you haven't replied to or been mentioned in the thread.
  5. Delete. Permanently remove the comment thread. Deleted threads don't leave a visible record of their removal. You can only delete threads that you've created, unless you're a Pendo admin; admins can delete any comment thread.

Manage comments

For individual comments you've added to a thread, hover over the comment and select the ellipsis icon located in the top-right corner to do the following:

  • Edit. Make changes to your comment as needed. Edited comments aren't marked as edited.
  • Delete. Permanently remove your comment. Deleted comments don't leave a visible record of their removal. You can only delete comments that you've added, unless you're a Pendo admin; admins can delete any comment.

View all comments

Select the comment icon located in the top-right corner of the dashboard to open the side panel and view all comments on the dashboard in a single view. The comment icon shows a red dot if there are unread comments.

By default, the most recent comments or threads display at the top of the thread. Use the filters in the dropdown menus to refine which comments display in this view:

  • Status. Select one or more thread statuses to display: Open, In progress, or Resolved. The number next to each status indicates the total threads currently in that category.
  • Filter by. Select whether to view all comment threads or only the threads you started.

Interact with comment threads in the All comments side panel just as you would when viewing threads within individual widgets. Here, you can add page-level comments, view and add replies to existing threads, add reactions, and manage your comments and threads. If you select a thread, the corresponding dashboard widget comes into focus.

Tip: You can also view all new comments, replies, and reactions that are relevant to you from the notification center in Pendo. This allows you to review and manage new comments, replies, and reactions that are relevant to you from a centralized location. For more information, see Notification center.

Manage email notifications

By default, you receive an email notification whenever another Pendo user interacts with you using the collaboration functionality on a dashboard. Specifically, you're notified by email when:

  • Someone replies to a thread that you started or that you're in.
  • Someone mentions you in a comment.
  • Someone adds an emoji reaction to one of your comments.

If you don't want to receive email notifications about these interactions:

  1. Go to Settings > User profile.
  2. Under Collaboration preferences, use the toggle to turn off Collaboration emails.

This turns off email notifications for all collaboration in Pendo, not just on dashboards. This means that when you turn off Collaboration emails, you also don't receive email notifications about interactions in Listen. You also won't receive further updates on that thread, even if you choose to resubscribe on the individual comment thread in Pendo.
