Share your dashboards

A dashboard is a tool for organizing and analyzing your Pendo data and insights. You can share dashboards with other users in your subscription and enhance them with widgets like text and embedded iframes to provide additional context for your data.

This helps in building a narrative around the data and facilitates effective sharing with others. Sharing options for dashboards include sharing with all Pendo users in your subscription or with specific individuals within your subscription.

Share with your subscription

If you choose to share a dashboard with your subscription, it's added to the dashboard directory for all users within your Pendo subscription to access. When sharing with your subscription, you can choose to provide viewing or editing access for everyone.

  1. To share a dashboard with your subscription, select Share in the top-right corner of the dashboard.

  2. Under Get Link, select Share with [subscription name].

  3. By default, all users in your subscription are provided viewing access. If you'd instead like to grant editing access to all users in your subscription, select Viewer and select Editor from the dropdown list.

If you ever need to remove dashboard access for your entire subscription, select Share from the dashboard, select your subscription name under Get Link, then choose Restricted.

Share with teams and individual users

When you share a dashboard with a team or individual user, they receive an in-app and email notification and can access it from their dashboard directory. A team and user can have viewer or editor access, and the dashboard owner can change or restrict access at any time.

  1. To share a dashboard with one or more Pendo users, select Share in the top-right corner of the dashboard.

  2. Under Sharing with People, select the input box, then enter the name of the user or team you want to share your dashboard with. As you enter text, matching users and teams appear in a dropdown. Press Enter or Return on your keyboard to select the highlighted user or team, or select the user or team name manually. Repeat this step for as many users or teams as needed. 
  3. If you want the selected users to have editing access to the dashboard, select Viewer and choose Editor from the dropdown list.

  4. Select Share to email each user or team member an invitation to the dashboard, which includes a direct link, and adds the dashboard to their dashboard directory.

If someone tries to open your dashboard and doesn't have access, they can request permission. You’ll receive a notification and can approve, decline, or manage the request from your notification center or from the dashboard’s Share modal. For more information, see Manage dashboard access requests.

If you need to adjust the access of teams or individual users, select Share from the dashboard, open the dropdown located to the right of their name, then select the appropriate access level:

  • Viewer allows the user to view dashboard content only.
  • Editor allows the user to view and edit dashboard content.
  • Remove restricts access to the dashboard. The team or user can only access the dashboard if you're sharing with the entire subscription or choose to share with them again.

Co-edit a dashboard

Multiple users can have editing access to the same dashboard, facilitating collaborative work on reports and insights. However, it's important to note that co-editing of dashboards doesn't support real-time, simultaneous updates. If users make changes to a dashboard concurrently, they won't see each other's updates, and only the last saved version will be loaded the next time the dashboard is opened. This could result in the loss of updates from one user if caution isn't exercised.

To avoid lost changes, we recommend editing dashboards in a single browser tab at a time, even if you're the only person working on it. If you have the dashboard open in multiple tabs or windows, changes from one tab can be overwritten by another. Also, refresh your browser if the dashboard has been idle for a while to ensure you're working from the latest version.

Access shared dashboards

To view all dashboards shared with you, select Dashboards from the left-side menu, then use the dropdown filter above the table and choose Shared with me. The table updates to include only dashboards that other Pendo users have shared with you.
